Recruiting Associate

About the position:

The ideal candidate will have a broad knowledge of general administrative responsibilities and communication skills. Reporting to the Director of Talent & Culture, the Talent & Culture Intern will contribute to the attainment of top talent for the organization. She/he will work in a team environment and autonomously to ensure the smooth running of departmental operations, projects, tasks and goals.

A day in the life of the Talent & Culture Intern…

  • Assist the Director of Talent & Culture (DTC) in the execution of a full-cycle recruiting for hourly, professional, and executive-level positions, including research, sourcing, recruitment, assessments, selection, offers, orientation and onboarding
  • Write, post and update job requisitions on internal and external recruiting and social media platforms
  • Write, post, update and maintain accurate and engaging job descriptions 
  • Schedule introductory phone screens and face-face interviews, and coordinate all pre/post interview logistics
  • Facilitate, schedule, and set up all candidate assessments
  • Coordinate the scheduling of pre-interview meetings and provide interview materials
  • Coordinate the scheduling of post-interview debrief meetings and provide debrief materials
  • Coordinate the pre-employment background checks
  • Identify opportunities for improving candidate experience and scheduling efficiency
  • Maintain the DTC calendar by scheduling interviews with candidates and appointments with internal/external contacts
  • Check the DTC voicemail and respond to caller, or redirect inquiries to appropriate personnel
  • Manage the Xtreme Lashes careers email and the recruiting phone line
  • Organize and maintain the HR & Recruiting records including scanning and filing
  • Organize and maintain the HR & Recruiting office
  • Take notes during meetings and follow up on action items
  • Create presentations to be viewed by the executive team and management across departments
  • Enter and report daily department activities
  • Data entry as needed
  • Assist in the coordination of other HR & Recruiting activities as needed
  • Performs other job-related duties as assigned
  • Administer interdepartmental surveys to hiring managers to ensure the Recruiting Department is serving the recruiting needs of the company

  • Ability to deal with ambiguity in a continuously changing environment
  • Strong MS Office skills (Words, PowerPoint, Create and update reports using Excel, etc.)
  • Strong command of information system management
  • Recruiting, paralegal, and legal experience is a plus
  • Ability to work independently and collaboratively with other departments in a fast-paced and dynamic environment
